The agency works across SEO, paid media, content marketing, digital strategy, data and analytics, and performance marketing to help brands attract traffic, increase visibility, and turn that traffic into measurable conversions.As we prepare for an upcoming large-scale client project, we are looking for an energetic, organized and highly proactive Part-Time Project Coordinator to support the smooth running of multiple workstreams across the project lifecycle.
About the role
This is a short-term, part-time contract role for a Project Coordinator who can help Fortis Media manage the moving parts of a complex, multi-platform digital campaign. The role is ideal for someone who is an exceptional multi-tasker, comfortable handling several priorities at once and able to keep projects moving with minimum supervision.You will work closely with Fortis Media’s internal teams, external vendors, platform/channel partners and specialists across campaign management, creative, reporting, tracking, compliance and operations.
The right person should be able to connect the dots quickly, follow up without being reminded, make sensible decisions when needed and communicate clearly with stakeholders from different parts of the world.
What a typical day would look like
As a Project Coordinator, your day will involve keeping the project organized, moving, and visible to everyone involved. You will update the main project tracker, check what tasks are due, follow up with internal team members, vendors, freelancers etc., and make sure deadlines, approvals and blockers are clearly documented.You will help coordinate different parts of the project, including campaign preparation, creative deliverables, platform-related requirements, reporting timelines, tracking updates, stakeholder feedback and issue resolution. This may include checking whether tasks have been completed, all campaign assets are finalized and ready before launching a campaign, confirming whether approvals have been received, flagging delays, organizing documents and making sure the right people have the information they need to move forward.
You will also support day-to-day communication across the project by sending reminders, summarizing action items, keeping meeting notes, updating status documents and escalating anything urgent to the relevant team members. Since the project involves multiple people, platforms and working parts, you will play an important role in connecting the dots and making sure nothing gets missed.
In simple terms, your role is to help the team stay organized, aligned and on track throughout the project.

- Reliable, accountable and able to maintain confidentiality when working on client projects.
Skills and Experience Required
- Good knowledge of project management tools and working trackers. Experience with tools such as Productive, Asana, Monday.com, Trello, Notion, ClickUp, Microsoft Planner, Excel, Google Sheets or similar platforms will be an advantage.
- Strong command of English for stakeholder communication, documentation, email updates and meeting follow-ups.
- Good working knowledge of Microsoft Office.
- Ability to organise information clearly across trackers, folders, documents and reports.
- Previous experience in project coordination, marketing coordination, agency operations, client servicing, administration, campaign coordination or vendor coordination would be an advantage but not mandatory.
- Basic understanding of digital marketing, paid media, social media platforms or campaign operations would be helpful but is not mandatory.
- Must be available to work 4 hours per day, Monday to Friday.
- Must be able to work from the Fortis Media office Monday to Thursday, with Friday available as a work-from-home day.
- Must be available to start immediately or upon request.

You will be successful in this role if:- The project tracker is always accurate, updated and easy for the team to use.
- Tasks, owners, deadlines, approvals and dependencies are clearly documented.
- Stakeholders are followed up with on time and no important items are missed.
- Risks and blockers are flagged early.
- Vendors, freelancers, specialists and client stakeholders stay aligned.
- Launch and ongoing campaign activities are well coordinated.
- Reports, logs, documents and closeout materials are properly organized and delivered on time.
- The team feels supported, informed and able to focus on execution because coordination is being handled smoothly.
